At Jackie Archer Therapy, your privacy and confidentiality are a priority. We comply with the General Data Protection Regulation (GDPR) to ensure your personal information is handled securely and responsibly. Jackie Archer Therapy is also registered with the Information Commissioner’s Office (ICO), meaning we follow strict data protection guidelines.

Key Facts

Here are some important things you need to know about how Marvellous Resources Therapy Services works with the data that is collected in day to day work on behalf of children and families.

Withdrawing Consent

Should you wish to withdraw your consent for Marvellous Resources Therapy Services to hold and use data about you and your family, you will need to put this in writing. The implications and process for moving this forward would be explained to you. Withdrawing consent for holding and using data would result in the immediate withdrawal of therapeutic work.

Electronic Protection

Marvellous Resources Therapy Services’ devices are protected by appropriate security packages to protect against external threats.  Access to the devices is via password control. Electronic records are created using Microsoft Word and are password protected. The computer hard drive, folders and documents used/created by Marvellous Resources Therapy Services are protected by Bitlocker encryption. 

Electronic documents with personally identified information on are only sent via secure email (Egress) and will only be sent when absolutely necessary (face to face delivery or recorded postal delivery are other options).

Paper Recordings

With the exception of consent forms and contact information sheets, Marvellous Resources Therapy Services does not create official paper records for client assessment and therapeutic work. Informal supervision/reflective notes are created to track progression and contribute to the formal reports. 

Once such reports have been written, the supervision/reflective notes are destroyed. Supervision/reflective notes do not contain personally identifiable information; they note key themes and events of therapy for the Therapist’s further thought within personal reflection and professional supervision.

Any paper documents received from third parties will be read and a decision will be made as to whether it is important to retain the information longer-term. Business related client documents (i.e. paper quotes and contracts) are created by Marvellous Resources Therapy Services and will be kept for accepted work. All paper documents are kept in a secure lockable container, which is held within a lockable filing cabinet.

Video/Audio Recordings

Marvellous Resources Therapy Services does not routinely use video and audio recordings for Play Therapy, though they can be more common within Filial Therapy. Where these are deemed to be necessary, they will be stored in locked container until they have served their purpose and can be destroyed. This would be discussed with you at the point of consent and contracting discussions.

Sharing Information

Client information is routinely shared between clients, families and identified  professionals for assessment and review processes.  This is always discussed during the referral and contracting periods when consent will be discussed (Circle of Confidentiality).  

There are other times when client information will be shared, when it is deemed to be in the safeguarding best interests of children, families and the community. In these  instances, information will most likely to be shared with health and social care professionals and/or the police.  Such instances will also be discussed in the initial contact phases.

Accountability

Marvellous Resources Therapy Services is currently registered with the Information Commissioners Office (ICO) under the name of Marvellous Resources Ltd - the process to amend the business name is underway. The ICO provides guidance to both the public and professional agencies about data protection and Marvellous Resources Therapy Services endeavours to work within the guidance they offer. Any complaints about how Marvellous Resources Therapy Services has managed your data can be directed to the ICO.

Professional Executor

In the event that Lynne Borrowdale is no longer able to operate , there is an identified plan of who will take action to protect/destroy client records.

How long is my data held?

Your personal information is collected to provide safe and effective therapy. This includes assessment/referral information, outcome measures, session notes, contact details, and relevant background information. Information will only be shared with other professionals with your consent, unless there are safeguarding concerns.

​

Session Notes & Personal Records – Kept securely for 7 years after therapy ends, or until a child turns 25, whichever is later. After this period, records are securely deleted.

​

Works of Art/Drawings – Stored for up to 6 months after therapy ends. If uncollected, they will be securely disposed of. If artwork is used as part of therapy records, it will be stored alongside session notes.

​

Emails & Correspondence – Routine emails are deleted after 6 months, unless they contain clinical information, in which case they will be stored with session notes.

​

Text / WhatsApp / Facebook Messages – Deleted after 3 months, unless they are relevant to therapy records.

​

Payment Records & Invoices – Kept for 7 years for accounting and legal purposes.

​

Referral Forms & Consent Forms – Stored securely for the duration of therapy and retained for 7 years after therapy ends.

• Data Storage & Retention

Client records are stored securely for 7 years after therapy ends (or until a child turns 25, whichever is later) in accordance with professional guidelines. After this period, records are securely deleted.

• Safeguarding & Legal Exceptions

In cases where there is a risk of harm to you or others, or a legal requirement to disclose information, confidentiality may be overridden in line with safeguarding protocols.
